Complete ECTN Application Process (Step-by-Step Guide)

A detailed 6-step walkthrough of the ECTN application process — from document submission to certificate issuance, with timelines and tips.

The ECTN application process varies slightly by country but generally follows these 6 standard steps. Understanding the full process helps you plan timelines and avoid shipment delays.

Step 1: Confirm Requirements and Request Quote

Before shipment, provide the following information for a quote:

  • Destination country / port
  • Cargo details (description, HS code, package count, gross weight, volume, value)
  • Estimated loading date
  • Shipping method (FCL / LCL / breakbulk)

We'll respond with a quote and solution within 24 hours.

Step 2: Submit Application Documents

After confirming the quote, submit your application:

1. Register / log in to the platform

2. Fill out the application form

3. Upload required documents (commercial invoice, packing list, B/L copy, etc.)

4. Submit the application

Important: Ensure document information is accurate and consistent — this is the key to smooth processing.

Step 3: Document Review and Supplement

After receiving your documents, we conduct a preliminary review:

  • Check document completeness
  • Verify information consistency
  • Identify potential issues and provide guidance

If additional information or documents are needed, our team will contact you directly. This stage typically completes within 1 business day.

Step 4: Confirm Draft and Make Payment

After review passes, a draft certificate is generated for your confirmation:

  • Review all key information (shipper, consignee, cargo description, values, etc.)
  • Confirm and complete payment
  • Multiple payment methods available: bank transfer, online payment, etc.

Important: Information is locked after draft confirmation. Post-confirmation amendments incur additional fees — please review carefully.

Step 5: Official Certificate Issuance

Once the draft is confirmed and payment received, we submit to the destination authority:

  • Official authority conducts final review
  • Upon approval, an electronic certificate (PDF) is issued
  • Certificate number is synced with the shipping line system

This stage varies by country, typically 1–3 business days.

Step 6: Receive Certificate and Complete Shipment

After issuance, you'll receive:

  • Electronic certificate PDF
  • Official certificate number (to be provided to the shipping line for B/L display)

Promptly share the certificate number with your freight forwarder or shipping line to ensure it appears on the bill of lading.
